Established Procedures

EEI’s Event Management Team utilize established procedures in providing Pre-Event Planning Support, On-site Event Support, and Post-Event support, including:

  • Listening to our client’s needs and then initiating the site selection process by creating an organized, detailed and easy to understand Request for Proposal (RFP).
  • Utilizing our resources within the hospitality industry to provide options that best meet your event needs. 
  • Providing reports highlighting all venue options, pros and cons, cost savings and contract terms.
  • Handling all aspects of the site inspection process.
  • Negotiating the hotel agreement for you once the venue is selected.
  • Working with your team and/or planning committee to establish and meet your event planning goals on target, on time and on budget including management of any food and beverage requirements, hotel lodging, and audio visual services.
  • Managing all of your registration needs, including fee collection, and providing you with an itemized, detailed reporting of fees collected and associated expenses. 
  • Implementing efficient processes that minimize diversions for your staff and allow them to focus on their regular responsibilities.
  • Incorporating on-site management during the event to ensure smooth seamless execution of your event.
  • Providing an after action report for use at future events.

 

Pre-Event Planning Support

EEI’s goal is to provide quality results that exceed your expectations and objectives. We proactively assesses our client’s needs in an effort to ensure your event goes smoothly and stress-free for all participants.  Our Event Management Team confirms all arrangements, anticipates/addresses potential obstacles and challenges, checks each event venue in advance, and stays in constant contact with the facility and event staff.

On-site Event Support

EEI can assemble conference materials, check in attendees, serve as the liaison between the attendees and hotel staff, negotiate AV and IT challenges, and provide many other on-site coordination functions.  We feel strongly that attendee feedback provides valuable insight for your future events, so we also provide on-site feedback cards for attendees and guests.  We are your support team for all administrative needs!

 

Post-Event Support

EEI provides detailed after action reports using registration data, on-site comments and feedback cards, and personal observations.  We break the data down, analyze it, and prepare a report for use in enhancing your next event.
